Equipment and vehicle rental photos: proving condition at pickup and return
Damage disputes in rentals come down to one question: was it like that when it left? Photos at pickup and return answer it, if both sides trust them. With AI editing a phone tap away, it helps to know what makes a photo trustworthy.
At pickup and at return
- Walk around the item and photograph every side, plus close-ups of existing damage, the hour meter or odometer, and the fuel gauge.
- Use the phone's normal camera app, with no filters.
- Take the same shots at return so they can be compared.
- If the renter takes the photos, have them send them in a way that keeps the original files (see below).
Keep the originals
A photo texted, emailed or posted often loses its metadata, including the capture time, and gets recompressed. The image looks the same, but the evidence of when it was taken is gone. Save originals from the phone, and don't edit them.
What a photo check shows
- Capture details such as phone model and time, when the file still has them. These are consistent with a camera capture but can be changed by software, so they support rather than prove.
- Signs of processing, such as re-saving, resizing or a sharing app's re-encoding. That shows the file was handled, not that the damage was edited.
- Signed AI records, which some AI tools attach to their output. When valid and tied to the file, they are strong evidence of AI involvement.
When the file has none of that, the answer is "unknown". That's not an accusation; it just means the file can't settle the question.
Collecting renter photos
Instead of asking renters to text photos, send a PIT secure request link. They upload or take the photos on their phone, the link expires, and the report notes how each photo arrived. You get files with their evidence intact and a signed report you can share if there's a dispute.
FAQ
Can a renter claim our return photos were edited?
They can claim it. Original files with a report of what each file shows make the claim easy to answer.
Do we need special cameras?
No. Phones are fine. Keeping the original files matters more than the camera.
